Property Manager - Cornwall

Job Description:

The Estate Management Discipline provides management, professional consultancy and strategic advice for Rural Estates across the UK including private clients, institutions, charities and the public sector.

The purpose for this role is to provide property management services for various institutional and private clients throughout Cornwall.  In particular this role will be responsible for managing the upkeep of residential properties ensuring arrangements for urgent repairs are undertaken as well as overseeing planned maintenance and improvement work, together with lettings.

Key Responsibilities:

  • In general, the primary task of the Property Manager is to support the work of the Chartered Surveyor responsible for the overall management of a portfolio.
  • Property and Estate Management
    Undertaking regular property inspections to include face-to-face meetings with tenants and occupiers and completion of associated property inspection forms and hazard sheets and uploading to Savills’ property management software (“APR”);
  • Checking monthly rent demand schedules are correct before release;
  • Reviewing and chasing aged debtors in conjunction with Savills’ Client Accounting Credit Control;
  • Preparing and updating repair and painting schedules;
  • Updating and managing tenancy deposits;
  • Arranging utility re-charges through client accounting;
  • Awareness of Estate budget and cashflows;
  • To be the main point of contact for Client Accounting team and deal with their requests or queries.
  • Tenancy Agreement and Rent Reviews
  • Preparing and issuing tenancy agreements and licenses;
  • Arranging for tenancy agreements to be signed and completed in a timely manner and copies scanned to APR;
  • Managing reminder systems on APR property database and prompting Chartered Surveyor to undertake rent reviews, lease renewals and serving of Notices;
  • Preparing and issuing Notices for tenants as required;
  • Actioning and managing fair rent reviews.
  • Residential Lettings
  • Managing vacation of outgoing tenants including undertaking pre-vacation inspections, liaising with tenants regarding dilapidations following cross-referencing of property condition with inventories, undertaking check-out appointments and informing utility companies and local Council;
  • Obtaining EPCs;
  • Preparing marketing particulars;
  • Uploading properties to website and checking they appear correctly;
  • Co-ordinating and undertaking viewings with prospective tenants;
  • Completing and managing credit and reference checks on prospective tenants;
  • Organising inventories and Schedules of Condition to be prepared and signed;
  • Arranging for inventories and Schedules of Condition to be signed and completed in a timely manner and copies scanned to APR;
  • Notifying Client Accounts of the termination of tenancies, start of new tenancies and rent charges;
  • Managing occupation by ingoing tenants including undertaking check-in appointments and informing utility companies and local Council;
  • Registering Deposit with the Tenancy Deposit Scheme (TDS) and sending associated documentation to tenants;
  • Ensuring deposits are returned at the end of the tenancy within the TDS time frames;
  • Maintaining property records in line with Savills procedures including completion of lettings checklist;
  • Managing third party letting agents where instructed to market vacant properties to include meeting prospective tenants, dealing with queries and overseeing the referencing process
  • Compliance
  • Preparing and updating Health & Safety files and audits;
  • Preparing risk assessments and ensuring contractors are provided with copies;
  • Responsible for managing Contractors undertaking repairs and maintenance including regular site inspections to monitor progress and check and sign-off work;
  • Managing and checking compliance matters required for the Estate management;
  • General
  • To act in and efficient, friendly and professional manner in proactively fostering excellent relationships with all internal staff, clients, contractors and other professional advisers.
  • To adhere to the firm’s Health and Safety policy and procedures as well as any other related laws and to do all that is reasonable to promote care and safety in the fulfilment of the role and in daily working life.
  • To undertake relevant training required to best carry out the role, if required.

  • Excellent attention to detail and accuracy;
  • Strong verbal and written communication skills.
