Site Manager (Savills Management Resources) - Queens House, Hull

Job Description:

The main purpose of the job is to act as the point of contact on site representing the client and Savills in as positive a manner as possible in order to forge links and liaise with the retailers and to lead the task of marketing and management of the offices.

Relationships

Reports to: Regional Facilities Manager

Key Responsibilities:


Main Duties

  • Provide an on site presence for the scheme.
  • Liaison with tenants at both site and head office level when appropriate.
  • Liaise and build relationships with our retail tenants and obtain regular feedback trading information and to identify areas of concern/opportunities for growth.
  • Preparation and implementation of a marketing strategy for the offices with support from Savills management team.
  • Lead the marketing and letting of office space, conduct viewings and liaise with the management surveyor to progress interest.
  • Co-ordinate marketing activity including events and advertising.
  • Liaison with local groups and partners to secure new marketing and leasing opportunities for the scheme.
  • Development of relationships, as directed by Savills, with local media, the local authority, residents,, businesses (adjoining the scheme) and any other relevant parties in connection with any matters of the scheme.
  • Communicate and meet with local essential service providers, including the police, fire service, schools and other statutory bodies (as required).
  • Report any matters of local interest / concern to Savills and thereafter, liaise with the clients PR (or other departments) as directed..
  • Keep Savills/Client fully informed of all management, marketing, leasing and operational activities.
  • Prepare and submit to Savills/Client a brief weekly report/update.
  • Maintain the scheme to the very highest of standards.
  • Ensure appropriate, clear communication lines are established and maintained with all relevant parties, to include the management surveyor, accounts team, tenants, contractors, suppliers and clients.

Tenant Relationships

  • Visit each tenant as often as is required and report their trading, business and occupational information and any issues to the appointed Management Surveyor.
  • Develop a close working relationship with tenant representatives and manage tenant satisfaction and confidence, in Savills service delivery.
  • Monitor tenant alterations and advise the Management Surveyor of any works noted to be ongoing on site.
  • Advise the Management Surveyor of any changes in tenants occupational status i.e. vacation of space, new occupiers moving in, potential name changes etc.
  • Ensure that each tenant adheres to their lease and tenant rules and regulations.

Operational

  • Ensure best value is being achieved by analysing, auditing and proposing improvements to the existing property management systems in operation and to existing contractual relationships..
  • Record utility consumption, at all sites and update Dashboard accordingly whilst liaising with Savills Energy brokers where appropriate.
  • Ensure that high site standards, in respect of cleaning, repair and presentation are achieved and maintained at all times, within property budgets.
  • In the event of emergency situations, to act as first point of contact and report back to relevant personnel, whilst co-ordinating third party stakeholders, to reach a speedy solution.
  • Ensure that those working on site are carrying out any work in a safe manner.
  • Minimise the Liability Risk exposure of the owner.
  • Create and maintain an effective working relationship with existing suppliers

Compliance

  • To ensure all Health & Safety policies and procedures are adhered to.
  • Ensure that the Savills Operation Reporting System (“Dashboard”) is up to date and complete at all times.
  • Ensure compliance will all legal and statutory requirements, including health and safety, NEBOSH or IOSH qualifications or commitment to the same is essential.
  • Prepare each site for risk assessment; maintain a target compliance rating of 85%.
  • Ensuring that a full set of risk assessments is held at each property and on Dashboard and action plans are implemented, diligently and competently at all times.
  • Ensure all required weekly, monthly and quarterly checklists are completed and uploaded on to Dashboard, within the appropriate time scales.
  • Ensure compliance at all times with operational standards and all quality assurance requirements.
  • Establish and implement best practice, whilst ensuring safe working practices, are complied with at all times, in line with Savills policies.
  • Ensure that all operations and maintenance undertaken at the centre conforms with the workplace health and safety legislative requirements.

Financial

  • Working with the OST team, evaluate existing contractual relationships and ensure that the service provided by contractors, is in line with the agreed specification. Ensure that any shortcomings in service delivery are dealt with swiftly and reported back to the Management Surveyor and OST team.
  • Track spend against budget through the service charge year and advise the Management Surveyor of any deviations from Budget (positive or negative) in early course.
  • Authorise and check coding of invoices within agreed timescales.

Additional Duties

  • All site management matters pertaining to the development and its tenants must at all times be kept confidential. Under no circumstances should confidential information be discussed with any party other than with the party directly involved with the issue.
  • Attendance at internal training courses are compulsory, as is the self identification of training needs.

Candidate Profile


Essential

  • Experience in the provision of maintenance services to a busy environment visited by members of the public.
  • Knowledge and/or experience managing services to an agreed budget.
  • Self motivated, able to work on own initiative.
  • Excellent managerial and inter-personal skills, a proven track record in managing change, extensive experience in managing budgets, good strategic vision and a strong commitment to customer service are vital.
  • Prior experience of the management of multi let commercial property.
  • Experience in the supervision of contractors.
  • Good understanding of property management.
  • Excellent communications skills.
  • A comprehensive knowledge and understanding of legislative health & safety requirements.
  • Good time management skills able to respond to client/contract deadlines.

Desirable

  • Operational experience within the retail sector at supervisory / managerial level.
  • Ability to use full range of Microsoft applications inc. Word, Excel, PowerPoint, Outlook.
  • NEBOSH Health and Safety qualifications.
  • First Aid qualifications.
  • Liaison with Police, Fire and Government Enforcement office.
