Client Accounts Team Leader (Fixed term) - Glasgow

The Commercial Management department manage in excess of 2,500 properties on behalf of clients/landlords within all sectors. This encompasses an approximate rent roll of £1.71 billion and circa 18,000 tenants across the UK.

Regional offices service both local and national clients. For Property Management Finance, the regional teams are currently based in London City, Manchester and Glasgow. The Treasury function (cash/processing transactions) is centralised in the Manchester office.

Job Description:

The role of Client Accounting Team Leader is responsible for managing a team of Client Accountants for Property Management in Glasgow. The role will incorporate the responsibility for all outputs of the team, both service excellence and compliance to procedures. The individual is to work with the Head of Client Accounting in Glasgow in order to set and deliver the team objectives for Client Accounting in Glasgow.

Key Responsibilities:

  • Manage and supervise a team of  Client Accountants within Glasgow ensuring that all team procedures are aligned in order to deliver the consistent service required.
  • The objectives for the role cover, management, performance and compliance, including but not limited to the below:
  • Client liaison – ensure that Client Accountants are servicing clients in accordance with their expectations and mandate. Attend client meetings and visit key clients accordingly.
  • Ensure that all client reporting is issued to clients in accordance with client mandate/ expectations and any relevant statute.
  • Ensure that all service charge balances held is in accordance with RICS guidelines and client mandates (including sold or out of management properties).
  • Ensure that all service charge balance sheets are accurate and cleared down with clients and 3rd parties.
  • Ensure that all service charge budgets issued to client accountants are entered in to the database accordingly, reporting on budgets outstanding (to be delivered by Surveyors).
  • Constantly review procedures in line with the service delivery and best practice. Ensure that the Client Service department process and report in line with the RICS client money rules and related best practice initiatives.
  • Manage along with the Head of Client Accounting in Glasgow the resource requirement for the team and ensure Savills employ and retain the best staff.  Perform appraisals for the team members.
  • Assist and deliver information for prospective clients – including request for proposal/information presentation information in addition to attending meetings/pitches.
  • Manage and control the static database in accordance with client mandates and Surveyor instructions.
  • Manage and report on the cash funding for each property detailing where actions are required to address funding shortages.
  • Carry out Internal Client service reviews and assist externally  with client service reviews
  • Consolidate and set up a Recoveries team specialism within the Division.
  • Assist on the department Procedure manual & policies.
  • Other tasks as instructed by the Head of Client Accounting in Glasgow.

Client Accounting  / Property specific

  • Property Management consisting of Surveyors/Property Managers and Site staff, Regional Client Periodic reporting to clients (standard reports plus additional as required
  • Ensure accurate reconciliation of client reports (ie VAT, client statement etc)
  • Instruct Treasury department (following the relevant approvals) of the following:
  • 1) Demand Rent, Service charge and other monies from Tenants
  • 2) Collection of monies
  • 3) Transfer of Rent monies to client
  • 4) Amendments to Client Accounts
  • 5) Payment of client property related transactions
  • 6) General maintenance of client funds ie tenant refunds etc
  • Manage and maintain the Service charge funds of each property under remit
  • Manage and maintain the property and tenant (lease) database for all clients under remit
  • Liaison with Treasury Dept and client to ensure that cash-flow/funding for each property service charge is adequate
  • Carry out annual property service charge audits and liaise with Asset Manager and service charge auditors to ensure completion within best practice guidelines
  • Carry out annual property service charge cash reconciliations including full balance sheet with narrative
  • Ad-hoc tasks/projects instructed by Management
  • Ad-hoc tasks/projects instructed direct by Client

Systems in operation, to be used to carry out the role:

  • Microsoft Office- Intermediate or above
  • PM accounts system – currently customised version of MRI v4.1
  • PM Dashboard system (Sharepoint)
  • iCoN (on-line invoice approval system)
  • All client systems required in order to carry out role
  • All banking systems required to carry out role
  • All other Savills internal systems

Candidate Profile:

  • Maintain any qualifications required for your role
  • Maintain membership of any required professional bodies
  • Have at least 4 years’ experience in Property Management Accounting
  • Have at least 2 years’ experience of a senior/management role in Property Management/services
  • Have at least 3 years’ experience of Property Management systems
  • Strong accounting/financial skills to at least technician/part qualified or be qualified or qbe.
