Team Secretary - Margaret Street

Job Description:

Team Secretary, providing full administrative support to a team of building surveyors based in the Margaret Street head office.

The individual must be highly organised, flexible and able to clearly prioritise their duties and work on their own initiative.  Must possess strong communication skills (both verbal and written) and have the ability to work under pressure. Be interested in detail and consideration to the quality of the output from the team.

Previous experience of working in a busy environment is essential as is the ability to provide a high level of service to, and establish rapport with, clients and Savills’ colleagues. A self-motivated individual, able to demonstrate reliability, flexibility and initiative.

Key Responsibilities:

  • Providing full administrative support to the whole team
  • Co-ordinating and completing monthly invoices
  • Ensuring the debtors and disbursements lists are monitored and actioned accordingly
  • Completing compliance and conflict checks
  • Daily management of Dynamics data including raising jobs
  • Typing correspondence and reports including collating, printing and binding when required
  • Audio/copy typing
  • Diary management including arranging travel and hotel bookings and arranging meetings in a timely and courteous manner
  • Team and external meeting organisation and minute taking
  • Organising client/team events
  • Scheduling external support: e.g. printers, photographers, couriers, training etc where required
  • Answering phones and dealing with enquiries/taking messages
  • Team filing and archiving
  • Maintaining a high level of professionalism when dealing with clients and colleagues
  • Exercising confidentiality and discretion at all times

Candidate Profile:

  • Previous experience in a Team Secretarial/Admin role within a busy Professional Services environment
  • Proactive organisation, co-ordination and prioritising skills with an eye for detail
  • Professional and confident telephone manner
  • Excellent verbal and written communication skills
  • Excellent time management skills
  • Ability to multitask and to work accurately and effectively under pressure
  • Understanding the principles and practice of client care
  • Ability to work in a team and appreciate team dynamics
  • Strong attention to detail
  • Excellent IT skills – Microsoft Office, (word, excel, powerpoint including all formating)
  • Excellent typing skills, with exceptional accuracy
  • Ability to take responsibility for production of high quality/accurate work
  • Enthusiasm and commitment to provide exceptional support
  • Property experience would be advantageous
