Team Secretary - Planning - Birmingham

Job Description:


To provide full and efficient administrative and secretarial support to the Birmingham Planning team of 11, including 3 Directors. 

The successful candidate should be able to demonstrate good communication skills (both verbal and written), be well organised and have the ability to work/cope well under pressure. Previous experience of working in a busy team/office based environment is highly desirable.

The successful candidate should be a pro-active and self-motivated individual, who can work together within a busy team as well as use initiative, be self-sufficient, reliable and flexible. 

Key Activities:

  • Raising fee invoices and management of the team’s billing process including fee spreadsheets, reconciliation of income with accounts records
  • Managing disbursements and aged time records identifying invoicing or write-off requirements
  • Diary management, arranging meetings and booking meeting rooms
  • Handling telephone calls, taking messages and covering phones
  • Opening and closing of jobs
  • Typing and formatting of letters/reports/tenders/emails
  • Processing expenses and updating timesheets for fee earners
  • Creation of agendas and minute taking at Department Meeting
  • Dealing with queries from clients and consultants
  • Ensuring CVs, Case Studies and Team Sheets are kept up-to-date
  • Filing/photocopying/scanning/archiving/printing/binding
  • Providing assistance at internal/external department events
  • Maintaining online filing system
  • Managing contacts database
  • Preparing PowerPoint presentations
  • Reception cover as and when required (shared by all Support Staff)
  • Arranging and coordinating team meetings and events
  • In addition to the tasks described above, you may be required to carry out other duties as may reasonably be required from time to time.

Candidate Profile:

  • Excellent IT skills – Microsoft Office, Outlook, Excel, PowerPoint and Dynamics
  • Promap, Land Registry, In-design, all desirable but not essential – opportunity to learn on job as required. 
  • Accurate typing skills – 60wpm
