Secretary - Cirencester

Job Description:

Full time secretary required to provide secretarial support for the Rural Estate Management Team to ensure the smooth running of the office.

Key Responsibilities:

  • Audio/copy typing
  • Provide full secretarial support to the team
  • Formatting documents and letters
  • Photocopying, filing and binding
  • Maintaining filing and archiving systems
  • Diary management for agents including internal, external  and video conference meetings
  • Direct liaison with clients/agents/tenants/contractors
  • Organising stationery and supplies for the team
  • Answering incoming telephone calls and taking messages
  • Greeting all visitors to the office and organising refreshments
  • Opening and distribution of daily post
  • Preparation of daily post ready for postal collection
  • Downloading and organisation of photographs
  • Any other duties normally associated with a secretarial post
  • Minute taking for office and quarterly meetings for the office
  • Maintaining office cheque log

Candidate Profile:

The ideal candidate will have good verbal and organisational skills, with a confident knowledge of computers, with the ability to work under pressure as part of a team and be self–motivated and willing to learn.

  • Have good IT skills including Word, Outlook, Excel
  • Strong proof reading and excellent attention to detail and deadlines
  • Self-motivated, confident and able to use own initiative
  • Ability to develop and maintain good working relationships at all levels
  • Able to prioritise workload
  • Mature outlook
  • Ability to work under pressure
  • Team player
