Property Administrator - Clitheroe

Job Description:

To provide administrative support to property management team and to support the management surveyors in the delivery of a high quality service for the benefit of clients and tenants.

The successful candidate will be a good team player, with strong organisational and communication skills (both verbal and written), the ability to work under pressure and a willingness to learn.

They will have previous experience of working in a busy environment and be able to provide a high level of service to, and establish rapport with, clients, and Savills’ colleagues.  A self motivated individual, they will also be able to demonstrate reliability, flexibility, and initiative.

Key Responsibilities:

Lettings Administration

  • Applicant care in line with company procedures
  • Efficiently deal with Landlord and Tenant enquiries
  • Organising viewings
  • Arranging and carrying out viewings as required and establishing rapport with applicants
  • Feedback to Landlords, Tenants and Applicants following viewings
  • Updating property database with feedback regularly
  • Weekly matching of applicants and twice weekly applicant call out
  • Call through archive Applicants
  • Arranging and carrying out any re-evaluation of any re-lets and prepare for remarketing
  • Ensure the team is aware of any terminations and the relevant action is in place
  • Prepare new properties for marketing
  • EPC’s and floor plans – order and insert EPC’s, photographs and floor plans on REAPIT and web
  • Carry out regular land and building inspections and report accordingly
  • General property administration including new agreements and renewals
  • Assist with arranging maintenance work where necessary

Property Database

  • Input of data into the Property Database
  • Archive Landlords, applicants and properties as necessary
  • Creating PDF and print details
  • Management of computer data keeping property information up to date
  • Resizing photos and uploading to database

General Administration Duties

  • Answering phones and dealing with enquiries or taking messages
  • Printing and binding reports when required
  • Audio and copy typing including updating or producing schedules, presentations etc
  • Set up and maintain filing systems, archiving, scanning and photocopying
  • Maintain manual and electronic files for each property in accordance with procedures
  • Minute taking as and when required
  • Update tenant contact database / mailing lists
  • Ensuring statutory compliance certificated

Candidate Profile:

Technical Skills

  • Full UK driving licence and own car
  • Customer / client facing experience
  • Excellent computer skills, particularly in Excel, databases and ability to pick up new software quickly
  • High efficiency, organisational and time management skills
  • Excellent attention to detail and accuracy

Communication Skills

  • Articulate with strong verbal and written communication skills
  • Ability to work effectively with individuals at all levels

Personal Skills

  • Flexible ‘can do’ attitude and willingness to learn
  • Self-motivated and able to use own initiative
  • Ability to work under pressure and to deadlines
  • Professional manner
  • Team player
