Maternity Cover PA and Department Coordinator - Margaret Street

Key Responsibilities:

  • To provide full PA support to the Head of Department and 2 senior Directors within the London Residential Development Sales team and supporting the wider Super Prime team.
  • The successful candidate will also act as the Department Coordinator and will be required to deal with all HR related enquiries and to ensure a smooth running of the department. The department consists of 160 members.
  • Duties will consist of, but not be limited to;
  • Providing full PA support to the Head of Department and one other Director (both business and personal support will be required)
  • Manage private and confidential information with the utmost discretion
  • Provide proactive solutions to assist the Directors and ensure the team operates efficiently
  • Diary & email management for Directors only
  • Chair Admin Team meetings including agendas and minute taking
  • Department co-ordinator responsibilities including HR, Recruitment, Sickness, Work Experience etc
  • Updating and/or formatting schedules, spreadsheets, presentations, marketing and sales reports, pitches and correspondence
  • Expense claims for the team
  • Reapit & Dynamics
  • Liaising with other departments on behalf of the Directors
  • Organising extensive international travel including flights, accommodation and itineraries
  • Organising appraisals for the Head of Department
  • Organising department Summer & Christmas parties including other ad hoc events
  • Handling telephone calls, taking messages and covering phones
  • Updating and maintaining Outlook and Dynamics contacts
  • Develop and maintain active communication both within your team and other teams

Candidate Profile:

  • Previous PA experience is required
  • Demonstrate the ability to work under pressure in a busy environment and show a willingness to learn
  • Good team player but also able to work on their own
  • Show initiative, be self-motivated, pre-emptive, efficient and reliable
  • Strong organisational and communication skills
  • Maintain a high level of professionalism when dealing with clients, applicants and colleagues
  • Excellent knowledge of Word/Excel/PowerPoint/Outlook is essential
