Graduate Team Administrator - Margaret Street and Finsbury Circus

Job Description:

The post holder is to assist and support the Financial Controller in the provision of a high quality finance service to the Savills Management Resources (SMR) business to include; the day to day management of the finance team members, the monitoring of income and expenditure, provide advice and support for operational managers and the wider Savills business.

Key Responsibilities:

Team

  • Responsible for the day to day running of the SMR finance function.
  • Provide leadership and line management to the team members within the finance function, ensuring financial processes are adhered to and information is produced to the required standards within set deadlines / timetable.
  • Conduct annual reviews and undertake regular one-to-one meetings, dealing with staff performance and disciplinary issues as well as personal well being.
  • To provide coaching, training and support to direct reports.
  • To deputise in the absence of the SMR Financial Controller.

Management Accounts

  • Responsible for the month end process; including recharges, fees, accruals and
  • prepayments.
  • Ensure month end tasks are completed accurately and in a timely manner to agreed strict
  • deadlines.
  • Raise monthly / quarterly POP Marketing fees and ensure income & expenditure are
  • recorded accurately.
  • Responsible for the monthly POP Marketing P&L and reporting, annual plan and quarterly
  • forecasts.
  • Conduct monthly financial reviews with the POP Marketing Account Director, identifying
  • and obtaining explanations for variances.
  • Assist with raising monthly / quarterly fees for other business streams and deal with related
  • fee queries.
  • Assist with the preparation of the monthly P&L accounts for other SMR business streams.
  • Ensure the preparation and maintenance of the monthly balance sheet reconciliations are
  • completed to agreed timescales.
  • Ensure the balance sheet items are investigated and cleared in a timely manner.
  • Identify and highlight old items / potential risks within the balance sheets.
  • Prepare and submit the VAT calculation to Savills PLC by the set deadline.

Credit Control

  • Oversee the SMR arrears process and ensure the process is efficient and effective.
  • Responsible for the reporting of the SMR arrears / aged debt, identifying and highlighting
  • key risks on a monthly basis.
  • Responsible for providing the SMR arrears / aged debt statistics for KPI reporting.
  • Ensure the Sold Property Register is completed and up-to-date.
  • Responsible for notifying all key parties of any outstanding SMR fees relating to properties
  • no longer under the management of Savills.
  • Liaise with the relevant teams to ensure any outstanding SMR fees relating to properties no
  • longer under the management of Savills are paid prior to the handover of service charge
  • funds or recovered direct from the client.

Expenses & Mileage

  • Manage the expenses and mileage claims process and ensure claims are accurately
  • processed and recorded in line with the SMR Expenses Policy.
  • Assist with the maintenance of the SMR Expenses Policy.
  • Keep abreast with developments in VAT and HMRC regulations and suggest changes to ensure compliance.

Data / Processes

  • Ensure all data is treated in a confidential manner and in accordance with SMR policies and procedures.
  • Ensure the integrity of data recorded on registers and recharges summary sheets is accurate and maintained.
  • Assist in the maintenance of the integrity of the financial database, ensuring amendments / corrections are accurately and promptly actioned and documented.
  • Assist with the improvements and documentation of processes and procedures.
  • Liaise with the Purchase Ledger Supervisor to ensure accurate recording of financial data.
  • Responsible for the completion of government and statistical returns to acceptable standards within the required timescales.

Other

  • Assist with the preparation of staff costs calculations for service charge budgets and for potential new business.
  • Assist with the year end process, internal and external audit.
  • Develop & maintain active communication both internally and throughout the wider Savills business.
  • Carry out ad hoc / project work as required.
  • To undertake any other duties deemed necessary by the Financial Controller.

Candidate Profile:

Education and Qualifications

Essential

  • GCSE Maths & English C or above
  • Degree level (or equivalent)
  • QBE within a similar role
  • Minimum of 4 years industry experience

Desirable

  • Part Qualified or Qualified in ACCA, ACA or CIMA

Knowledge and Experience
