Lettings Coordinator/PA to Head of Super Prime Lettings - Sloane Street

Key Responsibilities:

  • Answer incoming calls including Negotiators and HOD phone, taking messages when appropriate
  • Liaise with customers and clients in a professional, polite and respectful manner fitting of a Savills representative
  • Efficiently deal with lettings enquiries: filtering enquiries across the PCL/NL regions (in the absence of HoD) but being able to handle these at inception, if required
  • Understanding who to speak to across the business and forging strong relationships with counterpart/s in different divisions
  • Sending and answering to correspondence
  • Prepare new properties for marketing for lettings including ordering photos, EPCs, floor plans and obtaining brochure approval
  • Make sure every new deal is fully compliant before the move in for tenants and landlords
  • Ensuring all files are compliant with signed terms of business etc. preparing addendums, gathering correct compliance docs from individual or company depending on the ownership of the property
  • Arranging gift giving for clients and tenants at the request of HoD/negotiators
  • Work collectively with local office CLC’s
  • Help negotiators in progressing deals, as and when needed
  • Liaise with the satellite office teams
  • Processing / approving office invoices including photography, leaflet distribution, advertising and other agent invoices
  • Property lists
  • Managing marketing material – advertising/research document distribution
  • Key Management – logging keys in and out with local CLC’s/receptionists
  • Pitch packs
  • Tenant packs
  • Tenant & Landlord guides
  • Post – sorting and franking daily
  • Office stationary
  • Booking advertising in national and local publications, window cards and flyers
  • PA duties to the Head of Department
  • Being able to move across the region as and when required (e.g. accessing properties or hand delivering items if required)
  • Maintaining performance data for the department and collating/reporting this
  • Attending internal meetings on behalf of HoD (if required) and taking minutes/notes for follow up
